How do you do procurement in your construction site work?
Whenever there is a need in construction work site , Project Engineer raises request to head/back office. With materials request . Once received by back office, the request is reviewed and submitted for getting quotations from different vendors.
The procurement manager can negotiate with multiple vendors and get a best price. In some cases , he negotiates with single vendor with different prices. Once the quotation is frozen, purchase order is issued to the specific vendor. The vendor issues materials to specific construction site along with delivery challan. Invoice is sent from the vendor to the construction company later for the goods delivered. A person from the site , verifies the materials and generates the Goods Received note(GRN).
He verifies everything and makes the status as accepted /Rejected/Damaged.
The damaged goods are returned back to supplier and tracked seperately for issuing again.
Following the above process , helps the entire project team in many ways.
1. Getting the materials with best price
2. On time delivery from vendor to the site
3. Site team to know the progress on the raised requests at any point of time.
